Privacy policy

Duly Noted (“we”) keeps what you send it on WhatsApp and gives it back when you ask. This page says what we collect, why, who else handles it, how long we keep it, and what you can do about it. It is written to meet India’s Digital Personal Data Protection Act, 2023.

What we collect

  • Your WhatsApp number, and the profile name WhatsApp shows us.
  • What you send: messages, photos, documents, voice notes, contacts, locations and links.
  • What we make from it so it can be found again: the text read from your files, a short title and summary, the details that matter (a PNR, an expiry date, a phone number) and transcripts of voice notes.
  • Your settings: time zone (guessed from your number), language, and where you found us, taken from the opening line of the link you used or the ad you tapped.
  • Account basics: when you joined, how many messages you sent each day (for the daily limit), and your dashboard sign-ins.

What we never keep

  • Aadhaar numbers: only the last 4 digits are kept, because the law limits storing them. We tell you when this happens.
  • Payment card numbers: only the last 4 digits.
  • OTPs, PINs, CVVs, and passwords for bank, UPI, email or social accounts: never kept. If a message contains one, we keep the rest and tell you what we left out.

Why we use it

Only to run Duly Noted for you: to save what you send, find it when you ask, send files back, show your dashboard, and keep the service working and safe (the daily limit, preventing abuse, fixing problems). We do not sell your data, we do not use it for advertising, and we do not build a profile of you for anyone else.

Who else handles it

  • Meta (WhatsApp) carries messages between you and us, under WhatsApp’s own terms.
  • Anthropic (Claude) reads your messages and files to understand and file them, and to answer your questions. Under Anthropic’s commercial terms, what we send is not used to train its models.
  • Amazon Web Services, Mumbai (India) stores your data: the database and your files, encrypted at rest.

Voice notes are transcribed on our own servers, and links you send are fetched by our servers to read them. Nobody else receives your data, unless the law requires us to disclose it.

Who on our side can see it

Your archive is yours. Our admin view shows counts and dates only: your name and number, when you joined, how many messages you sent, how much you store. It never shows what you saved. Access to the systems themselves is limited to the people who run the service, and we look at your content only if you ask us to help with a problem, or to deal with abuse or a legal request.

How long we keep it, and deleting it

As long as you use Duly Noted. You can delete anything, any time: ask on WhatsApp (“delete my PAN”) and confirm, or use the dashboard. It is removed at once, together with its file and the message it came from. Deleting your account (dashboard, Settings) removes everything: messages, files, saved items and your conversation history. Copies in our backups expire within 7 days.

Your rights

  • See everything: type dashboard and send it to Duly Noted for a private link to all of it, and download it all as one file from Settings.
  • Correct it: edit any saved item on the dashboard.
  • Erase it: delete one item, or your whole account, yourself, at any time.
  • Complain, or nominate someone to exercise these rights for you if you cannot: write to us (below). If we do not resolve a complaint, you can take it to the Data Protection Board of India.

Security

Everything travels encrypted (HTTPS) and is stored encrypted. The dashboard has no password to steal: you sign in with a one-time link or code sent to your own WhatsApp.

Cookies

One cookie, to keep you signed in to the dashboard. No tracking or advertising cookies, and this site loads nothing from third parties.

Children

Duly Noted is not for anyone under 18.

Changes

When this policy changes we update this page and the date above. If a change matters to how your data is used, we tell you on WhatsApp first.
